This privacy policy describes how Duneland Model Club(“we,” “us,” or “our”) collects and uses personal information when you use ScaleTrack, our contest registration and management website at contest.dunelandmodelclub.com.

ScaleTrack is operated for Duneland Model Club contests. Our main club website is dunelandmodelclub.com.

2. What this policy covers

This policy applies to contestants and guests who register for a contest, view a public contest page, or use a manage-registration link we send you by email.

It does not cover staff who sign in to the admin dashboard. Staff authentication is handled separately through our identity provider (see Section 6).

3. Information we collect

When you register for a contest, we may collect:

• Contact information — name, email address, phone number, and mailing address
• Contest information — contestant type (adult or junior), entries (category, model title, scale, manufacturer, and related details), table or display preferences where applicable
• Agreement records — confirmation that you accepted contest rules, waivers, and related disclosures at registration
• Payment-related information — payment status (for example, unpaid, paid, or waived) and amounts recorded at check-in. We do not collect or store credit card numbers through ScaleTrack during pay-at-door registration.
• Identifiers we generate — a contestant ID, QR code data, and a secure token for your manage-registration link

For junior contestants, a parent or guardian typically provides the registrant's information on their behalf.

We may also collect basic technical information when you visit our site (such as browser type, device type, and pages viewed) through standard server and security logs.

4. How we use your information

We use personal information to:

• Process and manage your contest registration
• Communicate with you about your registration (confirmation emails, updates, and manage-registration links)
• Operate check-in, judging, awards, and reporting for the event
• Record payments and registration status at the contest
• Comply with contest rules and applicable law
• Improve the reliability and security of ScaleTrack

We do not sell your personal information.

5. Email communications

We send transactional emails related to your registration (for example, confirmation and manage-registration messages) using Resend, our email delivery provider. You may receive emails at the address you provide during registration.

6. Service providers

We use trusted third-party services to operate ScaleTrack. They process data only as needed to provide their services to us:

• Supabase — hosts our contest database (registrations, entries, and related records)
• Resend — sends registration-related email
• Hostinger — hosts the ScaleTrack web application
• Clerk — authenticates staff only for the admin dashboard; public contestants do not create Clerk accounts

These providers may process data in the United States or other countries where they operate.

7. Cookies and similar technologies

Public contest pages use minimal cookies needed for basic site operation and security. If you use staff sign-in, our authentication provider may set cookies to keep your admin session secure. You can control cookies through your browser settings; disabling cookies may affect sign-in for staff users.

8. How long we keep information

We retain registration and contest records for as long as needed to run the event, produce results and reports, resolve disputes, and meet our legal and organizational requirements. Archived contest data may be kept for historical and planning purposes unless you ask us to delete it and we are not required to retain it.

9. Your choices and rights

Depending on where you live, you may have the right to:

• Access or correct your registration information
• Cancel your registration, subject to contest rules and deadlines
• Request deletion of your information where applicable

To make a request, contact us at info@dunelandmodelclub.com. We may need to verify your identity before responding. If you are a California resident, you may also have rights under the CCPA/CPRA; we do not sell personal information.

10. Children's privacy

Junior contestants participate through registration by a parent or guardian. We collect only the information needed to administer the contest. If you believe we have collected a child's information improperly, contact us and we will take appropriate steps.

11. Security

We use reasonable technical and organizational measures to protect personal information, including encrypted connections (HTTPS) and access controls for staff. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of ScaleTrack after changes means you accept the updated policy.
